These Terms and Conditions apply to all offers, bookings and agreements between Cape Charles Stay LLC and you as the guest.
Bookings
Minimum stay durations and allowed check-in and check-out days change according to the season. The online booking system will automatically indicate the appropriate possibilities.
All bookings are considered confirmed once payment has been accepted. An email detailing the booking will be sent to you as confirmation for the booking. This confirmation email should be immediately checked for accuracy. Any inaccuracies should be immediately reported to us by email or by phone.
Cape Charles Stay LLC reserves the right at all times to refuse or cancel a booking without statement of reasons. We would only cancel your booking if your accommodation was unavailable for reasons beyond our control. We would refund all monies paid by you.
Each accommodation may only be occupied by the number of persons agreed upon and as stated on the booking.
Golf Cart Bookings require an additional Golf Cart Agreement to be complete prior to rental.
Payment
For all bookings, we require a credit/debit card payment. If accommodation booking is 30 days prior to your stay, you may pay a 50% deposit at time of booking, otherwise full payment is required. Full payment is always required for all golf cart rentals at time of booking.
We accept all major credit and debit cards including Visa, Mastercard, Discover and Amex. The remaining balance will be due 30 days prior to your stay.
You will receive an email with a secured link to make a payment for your remaining balance. Payments not made 30 days prior may result in cancellation of the reservation without a refund.
Cancellations
All cancellations must be made in writing by emailing capecharlesstay@yahoo.com. All refunds are subject to a 4% processing fee. In the event that you wish to cancel, to receive a full refund (less processing fee), your request must be received 30 days before your arrival date. If your cancellation is at least 14 days before arrival, you will receive a 50% refund (less processing fee).
If your cancellation is less than 14 days of your arrival, your booking fee is nonrefundable.
In the event you wish to cancel within 14 days of your booking, we will do our best to arrange an alternative date for your stay.
Cancellations must be made by 11:59pm Eastern Standard Time on the deadline dates listed to qualify for the refund amount.
In the event you cancel your accommodation and have a golf cart booking, the golf cart booking will also be canceled.
Security Bond
We do not collect a Security Deposit at the time of booking an accommodation or golf cart. The Security Bond amount is the total amount that can be charged after your check-out date based on possible damages during your stay. The cost of damages will be automatically charged to the credit card used at time of booking. If there are damages you will receive notification via email. Allow 7 days after check-out for damages to be reported.
In the event damages exceed the cost of the Security Bond Deposit, Cape Charles Stay LLC reserves the right to collect funds within a reasonable amount for repairs.
Arrival & Departure
Unless otherwise stated on the booking confirmation, you may check-in at any time from 4.00 p.m. on the scheduled day of arrival. Please ensure you leave the accommodation by 10.00 am on the day of departure, unless otherwise arranged.
We offer contactless check-in and check-out. You will receive an email a week prior to your stay with additional check-in information.
Damages and Breakages
You are responsible and liable for any breakages or damages which you or any member of your party cause to the accommodation or its contents. Please report these as soon as they occur. Do not wait until check-out time to report any accidental damage or issues needing attention. We do not normally charge for minor breakages, but we reserve the right to make a charge to the guest's credit/debit card, or we may send you an invoice, for repair or making good if the damage or breakage is significant.
Smoking Policy
Our vacation rental is a smoke-free zone inside. This is important to us in order to keep our property in the best condition possible. Guests can only smoke in outdoor areas as long as you respect the rules we have in place.
Discovering guests have been smoking inside the property will also result in loss of the security deposit.
Misconduct and Noise
If, in our reasonable opinion, you or a member of your party are disturbing neighboring residents, are abusive, aggressive or excessively intoxicated with alcohol or under the influence of drugs or engaged in any form of illegal or immoral behavior, we reserve the right to refuse you access to your accommodation and/or terminate the rental agreement requiring you to leave immediately without a refund and forfeiting your security deposit.
Liability
We do not accept liability for damage, loss or injury to any member of your party or possessions, unless proven to be caused by a negligent act by Cape Charles Stay LLC.
Pets
Unfortunately, we don't accept pets. At our discretion we can make an exception for disability assistance dogs; please contact us in this case before booking.
